Job purpose

The purpose of this position is to assist the President in optimizing efficiency of tasks in order to support the productivity and success of the company. The President oversees operations of four companies which include a retail division (Livestock), distribution (Take Five Trading), apparel brand (Illustrated Example), and an enterprise resource planning (ERP) company (Omnium Business Solutions). The work environment is fast-paced and dynamic and will benefit from a candidate who has strong organizational and research skills as well as an ability to anticipate and respond to emerging priorities.

Duties and responsibilities

Below are the key responsibilities of the job and examples of the types of activities that the candidate would undertake.


Carrying out background research and presenting findings to President
Producing documents, briefing papers, reports and presentations
Organizing and attending meetings and ensuring the President is well prepared for meetings


Organizing and maintaining diaries and making appointments
Liaising with company Controller and Division Managers to create, organize and present key metrics on performance of each business (weekly)
Devising and maintaining office systems, including data management and filing
Making travel, meeting and other arrangements for President and staff
Dealing with incoming email and often corresponding on behalf of the President
Planning and organizing staff and visitor functions as needed
Assisting key staff with their duties as necessary
Taking notes and providing general assistance during weekly company meetings

Assistance with Personal Tasks

Carrying out miscellaneous personal errands for President
Organizing and booking personal travel for President
Managing President’s personal schedule (e.g., doctor’s appointments, financial meetings, etc.)


Minimum of two years of experience as an Executive Assistant experience supporting a senior executive
Expert level computer skills (including but not limited to Microsoft Office suite)
Familiarity with Apple OS an asset
Ability to prioritize, multitask and meet deadlines with minimal supervision
Exercises independent judgement and discretion
Previous experience conducting research
Previous experience proof reading and editing documents
Takes initiative and is a self-starter
Ability to respect confidentiality of information
Formal Executive Assistant training an asset
Driver’s license required
